Basic Guidelines
- This Privacy Policy applies to all matters relating to the handling of personal information on the “The Japan-U.S. Leadership Program (JUSLP)” website, which we operate.
- We will comply with all applicable laws and regulations concerning privacy protection in handling your personal information.
- We will only collect your personal information by appropriate and fair means.
- We will not use your personal information beyond the scope of the purpose of use that we have previously specified without your prior consent.
- We will not provide third parties with your personal information without obtaining your prior consent, other than as specifically set forth in this Privacy Policy.
- We will at all times assign responsibility for protection of personal information and development of our internal systems to a designated officer in order to help ensure appropriate management of personal information.
- We will maintain appropriate safeguards to protect your personal information from improper disclosure or modification and from unauthorized access.
- We will regularly review this Privacy Policy to help ensure that appropriate safeguards are maintained.
- We will respond appropriately to requests from our users to disclose the personal information that we maintain concerning them, to correct any inaccuracies in such information and to cease use of their personal information.
- This Privacy Policy does not apply to personal information handled for the purpose of news reporting or writing. However, we respect the principles of the Personal Information Protection Law of Japan, and will handle any such personal information in an appropriate manner.
Handling of Personal Information
- Appropriate Collection
- We will only collect and keep your personal information through your inquiries, submission of the “JUSLP Participation Application,” or the like. Note that we may not only explicitly collect information from you but also inevitably collect information in the process of planning and operating JUSLP.
- Type of Personal Information We Collect
- We will collect the following types of personal information:
- 1) Matters related to inquiries, participation application, and information requests (first and last names, date of birth, contact address, telephone number, e-mail address, emergency contact names, numbers, etc.)
- 2) Matters related to selection of participants (personal history, reason for application, etc.)
- 3) Matters required to make arrangements for travel and lodging related to participation in JUSLP (passport information, food allergy information, etc.)
- 4) Visual images, photos, audio, etc. recorded at JUSLP or those that you submit
- Purpose of Use
- We may use personal information collected in 2. above for the following purposes:
- 1) For responding to inquiries from persons interested in participating, as well as for providing related information and materials;
- 2) For making arrangements for your participation in JUSLP as well as for operating JUSLP;
- 3) For posting for publicity on various media, our website, etc. to the extent that we have determined as necessary;
- 4) For recording, reporting, and publicizing JUSLP activities; and
- 5) For providing information on Japan-US exchanges after completion of JUSLP.
- Providing Information to Third Parties
- Your personal information that we have collected will be provided to the extent that they are necessary in the following ways:
- 1) Provision of image data to news media primarily for reporting on JUSLP
- 2) Provision of statistical information from which individuals cannot be identified to JUSLP sponsors primary for reporting on our activities
- 3) Your personal information may be provided without your consent in the following cases:
- Is in accordance with or required by applicable law;
- Is necessary for the protection of the safety or property of our users, and it is difficult or impractical to obtain the consent of the person concerned;
- Is particularly necessary for the improvement of public health or sound development of children, and it is difficult or impractical to obtain the consent of the person concerned;
- Is made in cooperation with national or local authorities, or an individual or entity appointed by such authorities to execute procedures stipulated by law, and in which seeking the consent of the person concerned could affect the execution of such procedures.
- Joint Usage
- Personal information collected in 2. shall be jointly used by us and our sponsors within the scope of the purpose of use stated in 3.
- Outsourcing
- We shall entrust the handling of personal information wholly or partially to a third party that has a confidentiality obligation based on an agreement with us to the extent that is necessary for achieving the purpose of use. In that case, along with concluding written agreement, we will exercise necessary and appropriate supervision over the relevant party to ensure the security of such personal information.
- Security Control and Revisions
- 1) To protect the personal information we hold from threats of improper disclosure or modification and from unauthorized access, and also to maintain data accuracy, we have established appropriate security control measures in accordance with this Privacy Policy.
- 2) We have appointed an officer in charge of handling personal information, and endeavor to safeguard the privacy of our users and ensure compliance with the requirements of applicable laws relating to privacy protection.
- 3) We instruct our management and employees concerning legal requirements and company regulations related to privacy protection, and will make utmost efforts to manage personal information appropriately.
- 4) In order to maintain appropriate information security control measures, we may revise this Privacy Policy and the handling of the Policy based on laws related to protection of personal information and guidelines drawn up by the Cabinet Minister in charge. We will post any such changes on the Website, so please check back as needed.
- Disclosure, Correction, Addition, or Deletion
- Requests for disclosure, correction, addition, or deletion of personal information may only be made by the person concerned, as a rule, and we shall respond to a reasonable extent.
- Suspension of Use, Erasure, and Suspension of Provision to Third Parties
- When we are requested by a user to stop using his/her personal information on the basis that such information (1) was collected improperly, (2) is being used for purposes other than those specified without his/her consent, or (3) is being provided to third parties without his/her consent, we will review the facts relating to such request without delay. If we find a valid reason for such request, we will cease use of such personal information without delay.
- Consent for Using Your Personal Information
- Provision of your personal information to us is optional, but if you decide not to, we may be unable to respond to your inquiries concerning JUSLP or may not accept your participation application.
- Preferential Application of the Japanese Version of This Privacy Policy
- The original version of this Privacy Policy has been prepared in Japanese. In case of any discrepancy between English and Japanese versions, the Japanese version will have priority over the English version.
- The JUSLP Secretariat is in charge of handling and joint use of personal information at JUSLP. The contact information for inquiries concerning the handling of personal information at JUSLP is as follows:
- Foreign Business Entities and Legal System
- The country where the foreign business entities to which we provide personal information by means of outsourcing, joint usage and third-party provision are located is the United States of America.
